ChatGPT Work: Turn Messy Notes Into a Finished Doc, Sheet or Deck
~12 min
Before thisChatGPT Projects Step by Step
Paste your scribbles, upload your files, and get back a document, spreadsheet or slide deck you can actually download, not just a wall of chat text.

Quick answer
- ChatGPT now has two modes: Chat and Work. Chat is for quick answers. Work is an agent for longer, multi-step jobs that end in a finished deliverable: a document, spreadsheet, presentation, report or Site.
- Switch modes in one click. On the web or phone, select Work. In the desktop app, choose ChatGPT from the top-left menu, then Work from the toggle at the top.
- It's for paid plans (not Free or Go). Work is on ChatGPT web and mobile for eligible paid plans other than Free and Go. Plus includes limited use of OpenAI's top model, GPT-6 Astra, in Work.
- Use a Project for repeat jobs. Open a project and choose Work to start a Work chat that uses the project's files and instructions.
- You review and steer. Work shows progress, asks questions and waits for your approval on important actions.
Chat vs Work: when to use which
| Chat | Work | |
|---|---|---|
| Best for | Quick questions, brainstorming, a paragraph | A finished file or a multi-step job |
| Output | Text in the chat | Document, spreadsheet, presentation, report or Site |
| Runs | Instantly | Longer; on web and mobile it runs in the cloud |
| Models | Regular ChatGPT models | Work models (GPT-6.1 Sol, GPT-6 Sol, GPT-6 Luna; Astra on eligible plans) |
| Uses files on your computer | ✗ | Desktop app only, with your permission |
| Cost | Regular limits | Draws on your Work and Codex allowance; heavier jobs use more |
Is Work worth switching to? The verdict
- Use Work when the end product is a file you'd otherwise build by hand: a meeting summary doc, a budget spreadsheet, a 6-slide update.
- Stay in Chat for a quick email, a definition or an idea list. Work uses more of your allowance.
- Give it a clear finish line. Work does best when you describe the outcome, the files to use and how you'll judge it.
Quick questions
Which plans have Work? OpenAI says Work is on ChatGPT web and mobile for "eligible paid plans" (Plus at $20/month and up). It isn't on Free or ChatGPT Go. Business and Enterprise admins control access.
Does Work cost extra? No separate fee. It draws on your plan's Work and Codex allowance. Plus includes limited GPT-6 Astra usage, with optional credits after that.
Can it use files on my laptop? Only in the desktop app, and only the files you allow. On the web and phone, upload files instead.
Can I just talk to it? Yes. Select the Voice control in Work to start a Live conversation. If Work needs your approval, tap it on screen. Spoken approval isn't supported.
Can it repeat the job every week? Yes. Work can run once, repeat on a schedule or trigger, or monitor for changes through Scheduled Tasks. See the next guide.
Before you start
- Plan: a paid ChatGPT plan with Work (Plus or higher — not Free or Go).
- Gather inputs: notes, PDFs, spreadsheets, screenshots. On web and mobile, you'll upload them.
- Decide the finished product in one line: "A 2-page Word-style summary for my boss" or "A spreadsheet with one row per expense."
- Leave out secrets. Don't upload passwords or full account numbers.
Step 1: Switch to Work
- Web or phone: open ChatGPT and select Work (on mobile, from the dropdown at the top).
- Desktop app: top-left menu → ChatGPT, then choose Work from the toggle at the top.
- From a project: open the project, then choose Work to start a Work chat that uses the project's context.
Step 2: Give it a finish line (the 4-part prompt)
OpenAI's own advice: describe the outcome, add files, constraints and review criteria.
OUTCOME: [What file you want, for whom, and what it's for.]
INPUTS: Use the attached [files]. Ignore [anything to skip].
RULES: [Length, tone, format, must-include sections, numbers to keep exact.]
CHECK: Before you finish, check [what matters], and list anything you weren't sure about.
Step 3: Watch, answer, approve
Work shows its progress. Answer any questions it asks. If it needs approval for an important action, review it and approve or decline on screen.
Step 4: Review and revise in the same chat
Open the file it made. Then ask for changes in the same chat: "Make slide 3 a chart," "Add a totals row," "Cut the summary to 5 bullets." Download the final version.
Try it: 3 worked jobs
- Meeting notes to a clean document
OUTCOME: A one-page meeting summary document I can send to my team.
INPUTS: My messy notes below and the attached agenda.
RULES: Sections: Decisions, Action items (owner + due date in a table), Open questions. Plain English. No more than one page.
CHECK: Make sure every action item has an owner. List any item where the owner or date wasn't in my notes.
[paste notes]
What good looks like: a downloadable document with a clean action table and a short list of gaps for you to fill in.
- Receipts to a spreadsheet
Upload photos or PDFs of 10–30 receipts.
OUTCOME: A spreadsheet of my October expenses for my accountant.
INPUTS: The attached receipt photos.
RULES: Columns: Date, Vendor, Category, Amount, Payment method, Notes. One row per receipt. A totals row. A second tab with totals by category.
CHECK: Flag any receipt that was hard to read, and double-check that the total matches the sum of the rows.
What good looks like: a spreadsheet with two tabs, plus a short list of receipts to double-check.
- Project update to a 6-slide deck
OUTCOME: A 6-slide presentation for Monday's update with my manager.
INPUTS: The attached status doc and budget sheet.
RULES: Slides: Title, Where we are, Wins, Risks, Budget (with one chart), Next 2 weeks. Max 4 bullets per slide. Speaker notes on each slide.
CHECK: Every number must come from the budget sheet. Tell me any number you had to estimate.
Save your allowance
| Habit | Why |
|---|---|
| Use Chat for quick questions | Work uses more of your allowance |
| Put everything in the first message | Fewer back-and-forth turns |
| Upload only the files needed | Big inputs use more |
| Pick Default in the model picker unless you need Astra | Astra can use your allowance faster |
Common mistakes and fixes
| Problem | Likely cause | Fix |
|---|---|---|
| You get chat text, not a file | You're in Chat, or you didn't name a file type | Switch to Work and say "a document/spreadsheet/presentation I can download" |
| Work can't see your local files | You're on web or mobile | Upload them, or use the desktop app and allow the folder |
| No Work option | Free plan, or your workspace admin turned it off | Upgrade, or ask your admin |
| Numbers changed | No rule about exact numbers | Add "keep every number exactly as in the source" |
| You hit your limit | Heavy model or long job | Use Default, trim inputs, or wait for the reset |
Prompt pack
Before you start, tell me your plan in 3 bullets and wait for my OK.
Make this deck shorter: max 3 bullets per slide, under 10 words each.
Turn this document into a one-page handout with a table of the key numbers.
Review the spreadsheet you made. Check every formula and list any that might be wrong.
